How to Organize Your Medical Records and Insurance Documents

Why Organization Matters More As You Get Older

Between Medicare cards, supplement policies, prescription records, and provider contacts, the paperwork around healthcare tends to accumulate β€” and having it organized can make a real difference when you need it quickly, whether that’s at a doctor’s appointment, during a hospital stay, or when a family member needs to help manage your care.

Start With a Single Folder or Binder

A simple physical folder (or a digital equivalent) that holds your Medicare card, any supplement or Part D plan cards, a current medication list, and key contact numbers gives you one place to grab everything at once rather than searching multiple locations.

What to Include

  • Insurance cards β€” Medicare card, Medigap or Medicare Advantage card, Part D card
  • A current medication list β€” names, dosages, prescribing doctor, and pharmacy
  • Provider contact information β€” primary care doctor, specialists, pharmacy
  • Recent Explanation of Benefits (EOB) or Medicare Summary Notices β€” at least the last few months
  • Advance directive or healthcare proxy documents, if you have them
  • Emergency contacts

Keep a Digital Backup

A photo or scan of key documents stored securely (a password-protected file or a trusted family member’s phone) means you’re not stuck if the physical folder isn’t with you in an emergency.

Review and Update Regularly

Medication lists and insurance cards change β€” set a reminder to review your folder every few months, and especially after any AEP plan change, so it always reflects your current coverage and prescriptions.

Share Access With Someone You Trust

If a family member or caregiver might need to step in and help manage your care, let them know where this information lives and how to access it before it becomes urgent.
